Oklahoma State University-Center for Health Sciences is currently accepting applications for an Admissions Specialist.
This position provides daily operational and clerical support to the Office of Enrollment Management and is a key infrastructure position within the College of Medicine Admissions Department. The Admissions Specialist is responsible for coordinating and ensuring the successful transition of prospective students to the Oklahoma State University College of Osteopathic Medicine. POSITION SUMMARY:
The Assistant Registrar provides direct assistance and advice to the Registrar; serves as Registrar when appropriate; oversees the daily operation of core functions within the Office of the University Registrar, including the management of academic records, enrollment, and grading; provides high quality customer assistance and senior leadership on special projects as directed.
PRIMARY DUTIES:
· Provide direct assistance and advisement to the Registrar regarding office operations, academic policies (state and institutional), procedures, registration, and student record functions.
· Supervise professional staff and student employees, ensuring accurate and timely completion of operational, clerical, and transactional processes. Provide training, performance feedback, and ongoing development.
· Process and oversee grade change requests, ensuring accuracy, compliance, and appropriate notification to relevant parties.
· Manage the Late Drop/Withdrawal Appeals process, including documentation collection, coordination with the committee, communication of decisions, and record updates.
· Assist in the development, revision, and implementation of departmental and university policies and procedures. Provide counsel to students regarding academic, registration, and records-related issues, collaborating with faculty and administrators as needed.
· Partner with the Registrar in overseeing course scheduling systems and processes.
· Maintain and optimize the Registration and Advising modules within the Student Information System (Jenzabar), including testing, troubleshooting, and report generation related to enrollment, graduation, and compliance.
· Identify opportunities for process improvement and assist in implementing workflow enhancements and system efficiencies.
· Generate and monitor attendance reports; notify departments of reporting deficiencies and process administrative drops for non-attendance in accordance with institutional policy.
· Assist in end-of-term grade collection to ensure timely and accurate reporting.
· Oversee and maintain the institutional academic calendar, ensuring accuracy of key dates and effective campus-wide communication.
· Support the Registrar in special projects, committee service, research initiatives, and preparation of documentation and reports.
· Promote a culture of professionalism, accountability, and high-quality customer service to students, faculty, staff, administrators, and the public.
· Hire, train, and supervise student employees, assigning tasks and ensuring effective support of office operations.
KNOWLEDGE AND SKILLS
1. Demonstrated knowledge of student records practices and methods accepted by the higher education field.
2. Demonstrated knowledge of computerized and manual systems for collecting, preserving, and reporting student information.
3. Strong information technology literacy skills including working knowledge of the Jenzabar EX system.
4. Demonstrated ability to interact favorably with faculty, administrators, staff, students and the public.
MINIMUM QUALIFICATIONS:
· Bachelor’s degree.
· Three (3) to five (5) years of increasingly responsible, related higher education and/or education experience, preferably in a registrar or enrollment service area.
· Experience in supervision of professional staff.
· Experience with student information systems, preferably Jenzabar-related software.

Credentials Assistant – Tulsa Community College
